This Costs & Charges Policy forms part of the Legate Hub Terms and Conditions and must be read together with all other contractual provisions.
1. Purpose of this Policy
This policy explains how Legate Hub calculates, communicates, and applies professional fees, Home Office charges, and third-party costs for UK immigration services. The goal is to ensure transparency, fairness, and compliance with relevant OISC and consumer protection standards.
2. Transparency of Costs
- 2.1 Legate Hub will provide clear and comprehensive information about all fees before services begin.
- 2.2 A written quotation or client care letter will detail the scope of work, expected fees, payment terms, and any additional costs.
- 2.3 No fee will be charged without the client’s prior agreement.
3. Professional Service Fees
- 3.1 Professional fees cover advisory services, case preparation, document review, submission assistance, communication with relevant bodies, and follow-up on UK immigration applications.
- 3.2 Fees may be fixed, hourly, or project-based depending on the service and level of complexity.
- 3.3 Professional fees do not include UKVI / Home Office fees unless expressly stated.
- 3.4 Additional work arising from revised instructions, new information, changes in circumstances, or added complexity will be charged separately at the applicable rate.
- 3.5 All pricing will be discussed and confirmed upon consultation. Any pricing displayed on the website is provided as a guideline only and does not constitute a final quotation or binding fee.
4. Home Office / Government Fees
- 4.1 UKVI fees, Immigration Health Surcharge (IHS), biometric fees, priority service charges, and other government-related fees are determined by the Home Office and may change without notice.
- 4.2 Clients are responsible for paying all government fees directly unless alternative arrangements are agreed in writing.
- 4.3 Government fees are strictly non-refundable, regardless of the application outcome.
5. Third-Party Costs
- 5.1 Third-party costs may include translations, English language tests, TB testing, document certification, courier services, accountant letters, financial evidence verification, and other specialist requirements.
- 5.2 These costs are generally paid directly by the client unless otherwise agreed.
- 5.3 Where Legate Hub pays a third-party cost on behalf of a client, the amount will be recharged with prior approval.
6. Invoicing and Payment Terms
- 6.1 Invoices will be issued before work begins.
- 6.2 Work will commence once the required payment or deposit has been received.
- 6.3 Late payments may result in paused services and may incur administrative fees.
- 6.4 All outstanding fees must be settled before application submission or release of completed documents.
7. Changes to Scope and Cost Adjustments
- 7.1 If the scope of work changes or additional work becomes necessary, Legate Hub will issue a revised quotation.
- 7.2 No additional charges will be applied without the client’s written confirmation.
- 7.3 If delays or revisions arise due to missing documents, new circumstances, or client inaction, supplementary fees may apply.
8. Refunds and Cancellations
- 8.1 Professional fees are non-refundable once work has commenced, except where required by law.
- 8.2 If the client cancels before work begins, a partial refund may be issued minus administrative fees.
- 8.3 No refunds are provided for Home Office fees, third-party expenses, or unsuccessful applications.
- 8.4 If Legate Hub ends the service due to client breach, fees for work already completed remain payable.
9. Disputes Regarding Charges
- 9.1 Any disputes regarding fees must be raised in writing within 7 days of receiving an invoice.
- 9.2 Legate Hub will review the concern promptly and fairly in accordance with OISC guidelines and consumer rights standards.
- 9.3 Services may be paused during a fee dispute.
10. Updates to this Policy
- 10.1 Legate Hub may update this Costs & Charges Policy periodically due to regulatory changes, Home Office fee adjustments, or internal operational updates.
- 10.2 Continued use of Legate Hub services constitutes acceptance of the updated policy.
